Security and Protection

MySapienta helps schools manage sensitive student, staff, and financial data. Security is a shared responsibility: the platform provides controls, and schools must apply good operational habits.

Protect your account

  • Use a strong password (avoid names of staff/students, your school name, or phone numbers).
  • Do not share accounts. Each staff member should have their own login.
  • Log out when you finish, especially on shared school computers.

Shared computers (common in schools)

  • Avoid saving passwords in the browser.
  • Do not leave the platform open and unattended.
  • If you use a lab or admin office PC, ensure only authorized staff can access it.

Roles and permissions

Use least privilege:

  • Teachers should not have fee editing permissions unless required.
  • Bursars should not have broad academic editing permissions unless required.
  • Only a few trusted staff should be able to delete/edit payments or change critical settings.

Preventing fraud and mistakes (fees and receipts)

  • Verify the student and amount before confirming a payment.
  • Keep clear rules for who can issue receipts.
  • If your workflow includes approvals, use them consistently.
  • Where audit logs are available, review unusual edits (late-night changes, repeated reversals, etc.).

If you suspect an account issue

  1. Change the password immediately.
  2. Ask an admin to review recent activity.
  3. Contact support with the school name, affected user, and approximate time.
